1. Definitions
In these Terms & Conditions, the following words carry the meanings set out below:
- "Agreement" — these Terms & Conditions together with any booking confirmation issued by Wovenhall.
- "Programme" — any facilitated session or series of sessions offered by Wovenhall, including the Family Story Conversation Workshop, Family Reflection Half-Day, and Year of Family Reflection.
- "Participant" — any individual who attends or is registered to attend a Programme.
- "Booking Contact" — the individual who makes the booking on behalf of a family group and accepts these Terms.
- "We / Us / Our" — Wovenhall, Suite 12, Jalan Hang Tuah, 75300 Melaka, Malaysia.
- "Studio" — our facilitation space at Suite 12, Jalan Hang Tuah, 75300 Melaka.
- "Fee" — the amount payable for a Programme as stated in our current programme listing.
2. Acceptance of Terms
By submitting an enquiry form, making a booking, or attending a Programme, the Booking Contact and each Participant agree to be bound by these Terms.
Programmes are open to adults aged 18 and above only. Where a Participant is between 16 and 17 years of age, written consent from a parent or guardian is required before the session takes place.
If you do not agree to these Terms, please do not proceed with a booking.
3. Service Description
Wovenhall provides facilitated conversation and reflection programmes for family groups in Malaysia. Our current Programmes are:
- Family Story Conversation Workshop — a three-hour facilitated group workshop exploring household story and intergenerational exchange. Fee: RM 550.
- Family Reflection Half-Day — a private half-day session for one family group of up to eight adults, including workbook, refreshments, and a written summary note. Fee: RM 1,180.
- Year of Family Reflection — four quarterly facilitated sessions for one family group across one year, with the same facilitator throughout. Fee: RM 2,560 per year.
Programmes are generally delivered at our Studio in Melaka. Off-site delivery may be arranged by prior agreement and may incur additional costs, which will be notified in writing before booking.
Programme availability is subject to facilitator scheduling. We do not operate on Sundays or public holidays unless specifically agreed.
4. Bookings and Confirmations
A booking is confirmed when we issue a written confirmation (by email or letter) and the Booking Contact has paid the required deposit or full fee as stated in the confirmation.
The Booking Contact is responsible for ensuring that all Participants are aware of these Terms before attending.
We reserve the right to decline a booking at our discretion, including where a Programme does not appear suitable for the circumstances described in an enquiry. In such cases, any fee paid will be returned in full.
5. Participant Responsibilities
Each Participant agrees to:
- Attend sessions on time and give reasonable notice if unable to attend.
- Engage with the facilitation process in good faith.
- Treat other Participants, facilitators, and studio staff with respect.
- Not record sessions (audio or video) without the written consent of all Participants and Wovenhall.
- Not use material from sessions in any way that could identify other Participants without their consent.
We reserve the right to ask a Participant to leave a session if their conduct is disruptive, disrespectful, or inconsistent with the facilitation process. No refund will be issued in such circumstances.
6. Fees and Payment
All fees are stated in Malaysian Ringgit (RM) and are inclusive of the materials and facilities described in each Programme listing.
Payment may be made by bank transfer or such other method as we specify in the booking confirmation. Payment details will be provided upon booking.
For the Year of Family Reflection, payment may be made in full at the time of booking or in two instalments as agreed in writing. Instalment schedules will be set out in the booking confirmation.
Fees are reviewed periodically. The fee applicable to your booking is the one stated in your booking confirmation.
7. Cancellation and Rescheduling
Cancellation by the Booking Contact
- More than 14 days before the session: full refund of any amount paid.
- 7 to 14 days before the session: 50% refund of the Programme fee.
- Less than 7 days before the session: no refund, but rescheduling to a later date may be offered at our discretion.
Requests to reschedule (rather than cancel) will be accommodated where possible, subject to facilitator availability, provided the request is made at least 5 business days before the original session date.
Cancellation by Wovenhall
We may cancel a Programme due to facilitator illness, force majeure, or other circumstances beyond our control. In such cases, we will notify you as soon as practicable and offer either a rescheduled date or a full refund. We are not liable for any other costs incurred as a result of a cancellation on our part (such as travel or accommodation costs).
8. Scope of Facilitation
Wovenhall programmes are facilitative and reflective in nature. They are not counselling, therapy, psychological intervention, legal advice, financial advice, or medical treatment of any kind.
Facilitators will not offer personal advice, make recommendations about individual circumstances, or intervene in family disputes outside the structured facilitation format.
Where a Participant appears to be in distress or requires support beyond what a facilitation session can appropriately offer, the facilitator may pause or close the session and suggest that the individual seek appropriate professional support.
9. Confidentiality
Facilitators will not disclose the content of any session to third parties without the written consent of all Participants, except where required to do so by law.
Written summary notes (provided as part of the Family Reflection Half-Day and Year of Family Reflection) are sent to the Booking Contact only and are not retained by Wovenhall after delivery.
Participants are encouraged to treat the content of sessions as confidential to the group. Wovenhall is not responsible for disclosures made by Participants outside the session.
10. Intellectual Property
All facilitation materials, workbooks, prompt cards, and written resources provided by Wovenhall remain our intellectual property. They are provided for the personal use of Participants only and may not be reproduced, shared, or used for commercial purposes without our written consent.
The Wovenhall name, logo, and programme names are our trademarks and may not be used without permission.
11. Disclaimers
Programmes are provided as described in our current programme listing. We do not make any representation that participation will produce particular personal outcomes or resolve specific family circumstances.
We are not a regulated professional services provider. Our facilitators are trained in community conversation practice and facilitation methodology, not in counselling, law, medicine, or financial services.
Information shared in sessions by facilitators is general and informational in nature only.
12. Limitation of Liability
To the fullest extent permitted by Malaysian law, our total liability to you in connection with any Programme shall not exceed the Fee paid for that Programme.
We are not liable for any indirect, consequential, or special loss arising from participation in a Programme, including loss of income, relationship breakdown, or decisions made following a session.
Nothing in these Terms limits liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation.
13. Indemnification
The Booking Contact agrees to indemnify Wovenhall and its facilitators against any claim, loss, or damage arising from a breach of these Terms by the Booking Contact or any Participant for whom the Booking Contact made a booking.
14. Termination
Either party may end a booking arrangement with written notice. Cancellation terms in Section 7 apply to any refunds due.
For the Year of Family Reflection, either party may end the annual arrangement after giving 30 days' written notice. Fees for sessions already delivered will not be refunded. Fees paid in advance for sessions not yet delivered will be returned on a pro-rated basis.
Sections 9 (Confidentiality), 10 (Intellectual Property), 11 (Disclaimers), 12 (Limitation of Liability), and 15 (Dispute Resolution) survive termination of this Agreement.
15. Dispute Resolution
These Terms are governed by and construed in accordance with the laws of Malaysia. The courts of Malaysia shall have exclusive jurisdiction over any dispute arising from these Terms.
Before commencing any formal legal proceedings, the parties agree to attempt to resolve any dispute informally by contacting us at [email protected]. We will endeavour to respond within 10 business days.
Where a dispute cannot be resolved informally, either party may refer it to the Consumer Claims Tribunal Malaysia or pursue other remedies available under Malaysian law.
16. General Provisions
- Entire Agreement. These Terms, together with your booking confirmation, constitute the entire agreement between the parties relating to the Programme.
- Severability. If any provision of these Terms is found to be unenforceable, the remaining provisions continue in full force.
- Waiver. Failure to exercise a right under these Terms does not constitute a waiver of that right.
- Assignment. The Booking Contact may not transfer their booking to another party without our prior written consent.
- Notices. Notices under these Terms should be sent by email to [email protected] or by post to Suite 12, Jalan Hang Tuah, 75300 Melaka, Malaysia.
17. Changes to These Terms
We may update these Terms from time to time. The current version will always be available at https://wovenhalling.pro/terms-conditions.html.
Changes take effect from the date shown in the "Last updated" header. Bookings confirmed before the update date are governed by the Terms in force at the time of booking.
